Position: Facilities Coordinator

Reports to: Director of IT

Position Summary

Under general supervision, is responsible for the overall maintenance of the facility, equipment and machinery including HVAC, building lighting systems, grounds keeping, security and overall facility appearance. Supervises and coordinates the work of outside contractors/vendors who repair and maintain building/facility, equipment and machinery.

Essential Functions:

  • Maintains the overall appearance and cleanliness of the facility coordinating daily as well as annual cleaning and maintenance. Coordinates and manages the outside cleaning services.
  • Responsible for maintaining, coordinating and documenting a preventive maintenance program of facility equipment, including HVAC, office equipment, laboratory equipment, etc. Schedules repairs and maintenance as necessary.
  • Works closely with the property management company to coordinate outside vendors/contractors as needed. Reports any issues necessary (ie. plumbing, HVAC, electrical, pest control, landscaping, snow removal, etc.) and coordinates corrective action to resolve the issue.
  • Acts as the first point of contact with the security company and gets involved with problem resolution when security malfunctions arise. Responsible for maintenance of doors and locks.
  • Responds on an as-needed basis to emergencies such as door, sprinkler or fire alarms, severe weather, etc., 24 x 7 and arranges for backup when not available.
  • Working with all necessary parties, assists with the development and maintenance of a plan for fire evacuation and disaster response.
  • Maintains up to date records for all state, federal and insurance inspections.
  • Works with and coordinates third-party contractor support as needed.
  • Sets up conference rooms as needed for meetings or training.
  • Maintains the supplies and the cleanliness of the kitchen daily.
  • Coordinates the changing of HEPA filters and lighting.
  • Issues and maintains cards for all outside visitors, vendors and contractors.
  • Routinely assembles shelving and assists with reconfiguration of work stations as needed.
  • Maintains the uniform rental program.
  • Handles various administrative tasks including processing invoices, etc.
  • Participates in any future building improvements or renovation projects as required.

Education, Experience, And Skills Required:

  • Associates Degree in a technical field or technical schooling preferred.
  • Minimum 3-4 years of facilities experience.
  • Knowledge of construction and manufacturing concepts, practices, and procedures
  • Experience dealing with outside vendors.
  • Proficient with Microsoft Office.
  • Must be able to perform maintenance tasks, as well as produce all reports and documentation.
  • Self-starter, able to work independently.
  • Ability to organize, prioritize and manage multiple projects.
  • Strong interpersonal, oral and written communication skills.
  • Ability to adapt to change and works with a sense of urgency in a fast-paced environment.
  • Effective customer service skills.

Physical Requirements (if applicable):

  • Frequently required to stand, walk, reach with hands and arms, stoop, kneel, crouch, or crawl, and only occasionally required to sit. The employee must occasionally lift and/or move up to 75 pounds.
  • Ability to work extended hours and weekends on occasions for burglar alarms, fire alarms and emergency building maintenance. Must be available to take emergency calls and respond within a reasonable timeframe.

Position: Buyer

Reports to: Procurement Manager

Position Summary

The role of the Buyer is to support and continuously participate in improving the Procurement function for materials, capital equipment and services, through the development and retention of quality suppliers, optimization of cash flow and pricing negotiations.

Essential Functions:

  • Negotiate and procure packaging, labeling, capital equipment, maintenance and service contract, chemicals, while taking into consideration demand, lead time, quality requirements, market conditions, and industry innovations.
  • Establish blanket orders for materials and services. Release materials and services against blanket orders while tracking activity, in coordination with Materials Management Supervisor and Facilities Coordinator.
  • Assist Procurement Manager in primary and secondary procurement and inventory functions to maximize supply chain efficiency, manage inventory levels and lower materials costs.
  • Maintain current and accurate vendor information, contractual/invoice payment terms and other appropriate files. Maintain appropriate vendor relations.
  • Participate in physical inventories as deemed appropriate by management.
  • Review orders and invoices for accuracy and proper authorization, code supplier packing slips with GL account number(s), and forward slips to accounts payable.
  • Maintain accurate and complete inventory/purchases documentation for effective audit trail.
  • Support a profitable and effective materials management/accounting operation.
  • Seek new and/or innovative information to enhance the company's systems.
  • Financial reports and documents will be current and accurate before submitting to Management.
  • Comply with Wedgewood's policies and procedures and all appropriate regulations.
  • Support all facets of Wedgewood's operations as necessary to ensure high quality customer service, safety, and effective workflow within the organization.
  • Perform any other tasks assigned by Procurement Manager.

Education, Experience, And Skills Required:

  • 3-5 years purchasing experience, preferably in healthcare or chemical industry.
  • Solid ERP experience a MUST, on MAS, SAP, Oracle or similar.
  • FDA, NIOSH, OSHA knowledge a plus.
  • College business or technical degree preferred.
  • Ability to cultivate vendor relations.
  • Strong analytical and negotiating skills.
  • Excellent verbal and written communication skills.
  • Good working knowledge of Microsoft Office.

Position: Customer Care Specialist

Reports to: Customer Care Supervisor

Position Summary

Wedgewood Pharmacy's Customer Care Specialists are one of the Company's primary interfaces with existing and potential customers and are responsible for ensuring that these customers receive the maximum benefit from Wedgewood's products and services. Their goal is to educate, assist, acquire and retain customers by facilitating the customer's ease and desire to do their business primarily with Wedgewood Pharmacy.  

Essential Functions:

Receive inbound phone calls from Wedgewood's customers and prospects and service their needs effectively and efficiently with the utmost focus on Customer Satisfaction.

  • Listen actively and establish rapport.
  • Quickly understand and analyze customer needs.
  • Use computer software application to properly service and place orders on customer's accounts.
  • Take ownership of any follow-up work necessary to service customer and ensure that nothing slips through the cracks, including outbound follow up calls or e-mails.
  • Speak knowledgeably about Wedgewood's products, preparations and services; cross sell related products when appropriate.
  • Adhere to compliance and HIPAA regulations as well as Wedgewood security policies.
  • Consistently meet yet strive to exceed performance standards set by department.
  • Contribute ideas and recommendations for improvements to the department and company.

Education, Experience, And Skills Required:

1-3 years experience in customer service with an excellent performance and attendance record. Pharmacy Technician and or Veterinary experience a plus. Learns quickly and enjoys the challenge of unfamiliar task. Excellent oral communications skills (grammar, positive tone, active listening, etiquette, empathy, confidence), written skills (spelling, logical thought processes and sentence construction, appropriate word choice) and math skills. Extremely customer-focused; positive, professional attitude. Intelligent, self-motivated, quick learner. Pays strict attention to detail, understands importance of accuracy and responsiveness. Strong PC and internet skills. Very good organization and work prioritization skills. Multi lingual, Spanish speaking a plus.

Position: Compounding Technician

Reports to: Pharmacist

Summary

The goal of the compounding technician is to increase pharmacy profit by supporting the acquisition and retention of quality customers and to increase sales by compounding the highest quality medication in accordance with relevant state and federal regulations.  The technician accomplishes these tasks through working with Wedgewood’s management team and all other staff employees in fulfilling his / her responsibilities and duties.

Job Responsibilities & Duties (Include the following, but are not limited to)

  • Compound individual, bulk, sterile, and non-sterile products under the direct supervision of a registered pharmacist.
  • Learn and maintain all systems for production and quality control of individual, bulk, sterile, and non-sterile products.
  • Provide regular feedback to supervising pharmacist / team leader on ways to improve systems for production, quality control, and safety.
  • Identify and recommend improvements to product formulations in order to increase compounding efficiency and consistency while maintaining the highest level of quality.
  • Implement and maintain systems for training compounding technicians in general, bulk, and aseptic policies and procedures.
  • Assist other compounding team members in meeting production demands, ensuring quality control, and maintaining a safe and clean working environment.
  • Follow all Wedgewood policies and procedures and recommend any improvements.
  • Support all facets of Wedgewood’s operations as necessary to ensure high quality customer service, safety, and effective workflow within the organization

Position-Specific Standards

  • All compounding will be done using good compounding techniques and lab practices and, when necessary, good aseptic practices according to company policy.
  • When working in the lab, all compounding staff will adhere to all safety guidelines including, but not limited to, lab coats, gloves, protective eye wear, and masks.
  • Recommended changes or improvements in product formulas will be put in writing on the formula worksheet and given to a pharmacist for review.
  • During compounding, packaging, and labeling all individual, bulk, and aseptic products will be clearly identified by having either a lot label or formula worksheet attached to the product.
  • All compounding technicians will give the highest level of attention to the products they are compounding and remain constantly focused while they are compounding in order to ensure high quality products and maintain a safe working environment for themselves and others.

Minimum Experience and Skill Requirements

  • Excellent verbal and written communication skills
  • Computer proficiency
  • Previous healthcare or pharmacy experience a plus
  • Bachelor’s degree in Biology, Chemistry or related field preferred, or pharmacy technician certification required
  • Attention to detail and ability to work in an organized fashion
